We are currently seeking a full-time Administrative Assistant to join our Regina team on an 18-month term position. As one of the first points of contact for clients, visitors, and employees, this role plays an important part in supporting the day-to-day operations of the company. The successful candidate will be professional, organized, and committed to providing exceptional administrative support to the Westridge team.
Responsibilities:
Reception & Office Administration
- Answer and direct incoming phone calls in a professional and courteous manner
- Greet clients, visitors, and employees and ensure a welcoming office environment
- Coordinate incoming and outgoing mail, courier packages, and deliveries
- Maintain boardroom and training room schedules and ensure rooms are organized before and after meetings
- Order and maintain office and coffee supplies, while monitoring inventory levels
- Photocopy, scan, file, and distribute documents as required
- Maintain project lists, phone lists, calendars, and filing systems
- Coordinate preventative maintenance and repairs for office equipment as required
Administrative Support:
- Format, save, and distribute daily and weekly superintendent reports
- Review, forward, and track purchase orders
- Assist with tender administration, including document preparation, setup, closing, scanning, and Dropbox organization
- Create and distribute internal company communications
- Assist with maintaining and updating project maintenance manuals
- Accurately prepare and edit documents, reports, and forms while ensuring consistency and attention to detail
- Create and maintain subtrade lists, project files, and archived project documentation
- Work collaboratively with the CFO and provide support to the broader team as required
- Perform other related administrative and reception duties as assigned
Qualifications:
- Office Administration Certificate or 3+ years of related experience
- Proficient in Microsoft Word, Adobe, PowerPoint and InDesign
- Strong organizational, communication, and time management skills
- Ability to work independently while managing multiple priorities in a fast-paced environment
- Construction industry experience is considered an asset
